WinTeam Integration Overview

WinTeam is a workforce management and payroll platform for service-based businesses. Connecting it through Onboarded means a new hire's onboarding data reaches WinTeam as a new employee record, created automatically, without anyone retyping it by hand.

Why connect it through Onboarded

Manual re-entry between onboarding and WinTeam is where errors slip in: a mistyped value, a missing field, a record that never gets created. Connecting WinTeam removes that handoff.

  • Eliminate double entry. New-hire data collected once during onboarding is sent to WinTeam for you.

  • Collect it from the right person. The employee completes their part of the form, then your team completes the employer part, before anything is sent.

  • Know where every record stands. Each submission has a status, and a rejection comes back with WinTeam's own error message.

Integration features

Onboarded takes the answers collected in an onboarding form, maps them to the fields WinTeam expects, and creates the employee record directly through WinTeam's API, with no file to generate and no manual upload.

  • Live API connection. Records are created in WinTeam as soon as the employer step is submitted.

  • No-code field mapping. You choose which WinTeam fields to collect and how each one is sourced, and publish the mapping when it's ready.

  • Value translation built in. Answers collected in Onboarded can be translated to the values WinTeam expects.

  • Versioned mappings. Edit a new version of the mapping without changing the one your forms are already using.

  • Submission tracking. Every record appears in the integration with a status: pending, employee submitted, employer submitted, success, or failed.

  • Clear errors. If WinTeam rejects a record, the submission shows as failed along with the message WinTeam returned.

Fields

WinTeam fields are configured per customer rather than from a fixed list. You choose which fields to collect, whether each is required, and whether the employee or the employer provides it. The mapping you publish decides exactly what is sent to WinTeam.

Good to know

This integration connects with your own WinTeam credentials, a Tenant ID and an API key, so you'll need API access enabled on your WinTeam account. Onboarded creates a partial employee record in WinTeam, and each record is tagged with a note showing it was created by Onboarded.
