Purpose

This procedure explains the supported way to re-run an E-Verify case for an employee after an existing case has been closed. Following these steps ensures the new case is actually submitted to E-Verify and that your records stay accurate and audit-ready.

Before You Begin

There is one rule that drives everything else in this procedure:

Each E-Verify task maps to exactly one E-Verify case. Once a case is closed and its task is complete, that task is finished and cannot be reused. To run a new case for the same employee, you need a new E-Verify task.

A related behavior to know about before you start:

  • Do not reset a completed E-Verify form. Resetting the form does not reopen the closed case behind it.

  • Because the task is already tied to a closed case, a reset form has nothing left to evaluate, so it auto-completes itself without ever submitting anything to E-Verify.

  • The result looks like success (the task shows as completed) but no case was created. This is the auto-complete behavior referenced later in this article.

Procedure

Complete these steps in order. The full process takes only a few minutes.

  1. Delete the completed E-Verify task. Open the employee's profile, confirm the E-Verify task is complete and its case is closed, then delete the task. Deleting the task does not delete the E-Verify case itself, and your closed case history stays intact.

  2. Create a new E-Verify task for the employee. Assign it the same way you normally would. This is the clean, un-evaluated form that will carry the new case.

  3. Close any case that is still open for this employee. Select the closure reason that accurately describes why the case is being closed. E-Verify will not allow a second open case for the same employee.

  4. Re-create the case from the new task. When E-Verify prompts you to select a duplicate case reason, choose the reason that accurately reflects why a second case is being created for this employee, then submit.

Why the order matters

  • Creating the new task first means you always have a clean, un-evaluated form ready to carry the new case.

  • Closing the prior case with an accurate reason keeps your E-Verify record defensible if it is ever reviewed.

  • Selecting the duplicate case reason is required by E-Verify whenever a second case is opened for the same employee. It is not an error message, it is an expected prompt.

Verify the Case Ran

After step 4, confirm the following before moving on:

  • The new task shows a case number or case status, not a blank or completed form.

  • The case status reflects a real E-Verify result rather than remaining unsubmitted.

  • The previously closed case shows the closure reason you selected.

If the new task jumps straight to "completed" with no case status attached, the case did not run. Delete that task, create another new one, and repeat step 4.

Common Situations

The form closed by itself and E-Verify never ran

This is the auto-complete behavior described above and almost always follows a form reset. Delete the task, create a new E-Verify task, and re-create the case from there.

You are seeing a duplicate case error

A duplicate case error means an existing case for this employee has not been closed. Close the open case with the appropriate reason first, then re-create the case from the new task and select the duplicate case reason when prompted.

You can see action buttons on a completed task

A completed task with a closed case is not editable, even if action buttons appear on the screen. Those actions will not create a new case. Use the procedure above instead.

A Note on Timing

E-Verify requires a case to be created within three business days of the employee's first day of work for pay. Re-running a case does not change that requirement, so work through this procedure as soon as you identify the issue. If the re-run puts you outside that window, select the reason for the delay when E-Verify prompts you.

Also worth remembering: while a case is open or in a mismatch process, the employee continues working under the same terms. Do not take any adverse action based on a case that has not reached a final result.
