How do I set up the ADP Flat File integration?

Last updated: October 16, 2026

Send new-hire data to ADP as a CSV file over SFTP. You'll create a profile for each file, map its columns, publish the mapping, and add the integration to a form.

Before you start

  • Access to Integrations in your account's sidebar.

  • SFTP details for each destination: hostname, port, username, password, remote directory, and a PGP public key if files must be encrypted.

  • The column layout ADP expects, ideally with a sample file.

Create a profile for each file

Each profile produces one CSV with its own columns and destination. An account that sends separate US and Canada files creates two profiles.

  1. Open the integration. In the sidebar, open Integrations → Marketplace, find ADP Flat File, and click Configure.

  2. Click Add Profile.

  3. Name the file. Enter a Profile Name and, optionally, a File Name Pattern: {date} inserts the date as MMDDYYYY and {id} a 4-digit number. Leave it blank for the default name.

  4. Fill in SFTP Delivery: Hostname, Port, Username, Password, Remote Directory, and PGP Public Key if needed.

  5. Click Save & Continue. You move to the Fields Mapping step.

Map the file's columns

  1. Click Set Up Data Mapping. Version 1 opens as a draft.

  2. Add code lists for dropdowns first. On Code Lists, click Add Code List, enter a Name and Key, and use Add Item for each option's Code (written to the file) and Label (shown on the form).

  3. Add each column. On Field Configs, click Add Field Config:

    • Field Name is the column header in the file. Label is what people see.

    • Type is string, selector, boolean, number, or date. For selector, pick the code list under Options.

    • Assignee is employee or employer, whoever fills it in.

    • Set Default Value, Enabled, and Required as needed.

  4. Pre-fill or transform the value (optional). Under Source Fields, click Add Binding and enter a field path like employee.first_name. Value Mappings translate a value into the code the file needs. Output Operations (join, coalesce, date_format, split, trim) run in order, so a split on | can keep only the code from 1234|Main Office.

  5. Save, then use the arrows on each row to set column order.

For a long file, use Config → Export Config to download a version as JSON and Import Config to load one. An import creates a new draft version.

Publish the mapping

  1. Click Publish Version, review the counts, and click Publish to Live. The tag changes to live.

Forms only use a live version, and a live version can't be edited. Until you publish, the form shows ADP Flat File is not yet configured with a live field mapping. To change columns later, reopen ADP Flat File from Marketplace, click the profile's pencil icon, go to Fields, click New Version, edit, and publish. The new version replaces the old one. SFTP details can be changed on the profile's File step anytime without a new version.

Add ADP Flat File to a form

  1. On the employee page, add an Integration field, set Integration to ADP Flat File, and choose the Profile.

  2. On the employer page, after the employee page, add a second Integration field with the same profile.

  3. Save and deploy the form version.

The employee sees fields assigned to employee. The employer page shows every enabled field, including the employee's answers, and opens only after the employee submits. Fields filled from a source field or default value arrive locked.

How files reach ADP

A submitted employer page waits as Employer Submitted. An export gathers each profile's waiting submissions into one CSV, uploads it to the remote directory (as .csv.pgp with a PGP key), and marks them Uploaded.

To send now, open Integrations → ADP Flat File → Export Jobs and click Run Export. Onboarded can also export hourly during US business hours (Eastern). That schedule is managed by Onboarded, not set in your account, so ask your Onboarded contact whether it's running.

Verify

Complete both pages for a test employee. Under Integrations → ADP Flat File → Submissions, the row reads Employer Submitted. Click Run Export on Export Jobs; the job reaches Delivered and the submission Uploaded. Click the file name to download the CSV (always unencrypted) and compare it with ADP's sample.

If a job shows Failed, read its Error column, fix the cause, then open the job and click Retry.
