How do I view and download PDFs for a completed task?

There are three ways to get a PDF from a completed task: the mapped PDF (your filled document, available on the task's Overview tab), the audit PDF (Onboarded's compliance record, exported directly from the task), and a bulk ZIP export that packages every completed task for an employee or placement at once.
Two types of task PDFs
Before choosing which method to use, it helps to understand what each PDF actually contains.
The mapped PDF is a filled copy of the document template you uploaded in the form editor. When a task completes, Onboarded automatically merges the submitted field values into your original PDF's form fields and stores the result as a digitally signed, read-only document. It looks exactly like your original form — because it is your original form, filled in.
The audit PDF is generated fresh on request and is Onboarded's own structured record. It captures every field submission across every page of the task — with assignee labels, submission timestamps, IP addresses, and device info — plus an audit trail addendum with a full field inventory. It does not look like your original document; it's a standardized export of what was submitted and when.
If the task's form was not built with a document template, only the audit PDF is available.
How to open a task
There are two ways to get to a task record:
From the Tasks list — go to
Tasksin the navigation and select the task.From an employee's profile — open the employee record, click the
Taskstab, then click the task name.
View or download the mapped PDF
Open the completed task.
Click the
Overviewtab and find thePDFrow in the task details.Click
Viewto open the PDF in your browser, orDownloadto save it to your computer.
The PDF row only appears when the task's form has a document template configured. If you don't see it, the form was built without one.
Export the audit PDF
Open the completed task.
Click
Exportin the top-right action bar.Optionally enter a file name, then click
Export.
The file downloads to your computer immediately. Export is not available for tasks completed out of band or tasks that were copied.
Export all task documents for an employee or placement
Export Task Documents packages the PDFs for every completed task into a single ZIP file — one folder per task, each containing the task PDF and any uploaded file attachments. Use it when you need a complete record rather than downloading task by task.
Open the employee or placement record.
Click
Export Task Documentsin the header, then selectCreate New Export. You'll be taken to the export history page.The export runs in the background. The status updates automatically — wait for it to show
completed.Click
Downloadto save the ZIP file.
For each task, the export uses the mapped PDF if one exists. If there's no mapped PDF, it falls back to generating the audit PDF. Tasks completed out of band or copied tasks with no mapped PDF are skipped. Exported ZIPs are available for 60 days; to revisit a previous export, click Export Task Documents → View Previous Exports.
Export Task Documents may not be enabled for all accounts. If you don't see the button on the employee or placement record, reach out to your Onboarded team.
