How do I link a document to a form using Assets?

Last updated: September 25, 2026

Upload a standalone document — a policy PDF, employee handbook, benefits summary — to Assets, then link it from any form. Candidates open the current file in a new tab, and you don't re-upload it for every form that references it.

This is the pattern to reach for when you're moving policy documents off an old HR Center "information page" and into an Onboarded form. The document isn't the form's mapped PDF — it's a separate file candidates read or acknowledge. You upload it once to Assets and point form text at it.

Before you start

  • Access to the form editor for the form you want to add the link to.

  • The document saved as a PDF.

Steps

There are three phases: upload the document to Assets, copy its URL, and link that URL from a content field.

Upload the document to Assets

  1. Open the form in the editor.

  2. In the right-hand panel, find the Assets section and click Open. The Uploaded Assets panel opens.

  3. Choose where the asset lives. An organization-level asset is available to every form in the account; a form-level asset is scoped to this form only. If more than one form will link the same document, upload it at the organization level.

  4. Drag your PDF into the upload area, or click to browse for it. Assets accepts PDF files.

You should see the document appear in the list with a PDF icon.

Copy the asset URL

  1. On the uploaded document, open its actions menu (the ⋯ icon).

  2. Click Copy URL. Onboarded copies a link that looks like /assets/<id> to your clipboard.

If you'd rather paste ready-made markup, Copy HTML gives you a complete link tag (<a href="/assets/<id>">filename</a>) you can drop onto the Code tab of a content field.

Link the URL from a content field

  1. On the form page, open the content field where you want the link. If you don't have one yet, drag a Content field onto the page first.

  2. On the Editor tab, type the text you want candidates to click — for example, View the attendance policy — and select it.

  3. Click the hyperlink button in the toolbar, paste the /assets/<id> URL, and apply the link. Save the content.

This pattern is for standalone documents you upload to Assets. To surface the form's own mapped PDF — the one attached on the PDF mapping page — link or embed {{ input.urls.pdf_url }} instead, so the reference survives PDF swaps. That flow is covered in the embed article below.

Verify

Open the form's preview link and click your link. The document should open in a new tab, served from the /assets/… URL.

If the link 404s or opens blank, the two most common causes are a typo in the pasted URL, and a scope mismatch — a form-level asset uploaded on a different form won't resolve here. Re-copy the URL from the Uploaded Assets panel, or re-upload the document at the organization level so it's available account-wide.
