How do I complete the employer step so an employee can finish a task?

Last updated: September 25, 2026

When a form has an employer page ahead of the employee's page, the employee can't finish until someone on your team submits the employer part. Open the task, create a link with Assignee Type set to Employer, and complete your part. The employee's page opens on its own after that.

How to tell a task is waiting on your team

Onboarded works through a form in page order. Back-to-back pages with the same assignee make up one step, and each step has to be submitted before the next one opens. So if the first page of a job description is assigned to Employer because it needs your countersignature, the employee's page stays closed until your team submits that page.

You'll see it in two places:

  • The employee's task summary shows the task with a Waiting for Employer badge and the message We'll keep checking for new tasks automatically. From their side it looks stuck, and they'll often tell you they couldn't finish.

  • The task record shows Next Action as Employer in the Task info panel. To find every task waiting on your team, filter Tasks by Next Action → Employer.

A Locked badge means something else. The task is waiting on an earlier stage, not on your team. See 📄 How do I order onboarding forms into stages?

Steps

  1. Open the task from the employee's record or from Tasks.

  2. Click Create Link. The Create Onboarding Link panel opens with this task already checked under Tasks.

  3. Set Assignee Type to Employer. It defaults to Employee, which opens the employee's side, and that side is the one that's waiting.

  4. Leave Delivery Method on Create Link and submit the panel.

  5. Click Open Link. You land on the employer page of the task.

  6. Complete the employer page, including the signature if it asks for one.

  7. Submit the page.
You should land on a task summary that shows the task as Completed for your side, or Waiting for Employee if the form has more employer pages after the employee's.

  8. Let the employee know the task is ready. The link they already have opens it. If they still have their task summary open, it checks for new work on its own for about 10 minutes. After that it shows Automatic checks have paused. Refresh to check for new tasks. and they click Refresh. Links expire after 30 days, so send a new employee link if theirs is older than that.

If the employer page asks you to Verify it's you, that page has the Require authentication add-on. Sign in to Onboarded to continue. If it's also limited to the assigned employer user, you'll see This page can only be accessed by the employer user assigned to this task. Either have that person open the link, or click Edit on the task and change Assignee.

Keep it from happening on the next hire

An employer page first is the right call when the employee needs to see something your team fills in, like a pay rate. If it's only there for a countersignature, it's usually smoother to let the employee go first:

  • Move the employer page after the employee's page. The employee finishes without waiting, and your team signs after. If the rest of your forms run employee-first, this also keeps the experience consistent.

  • Remove the employer page if the document doesn't need your team's input at all. With no employer page, there's no employer step.

Page order and assignees are covered in 📄 How do I build a multi-step form with separate pages for employees and employers? Either change goes into a new draft version of the form. It applies to tasks on the version you publish, so for a task that's already waiting, complete the employer step as above.

Verify

Open the task again. Next Action now reads Employee and the progress count in Task info has gone up. Once the employee submits their page, the task reaches 100%.

If Next Action still says Employer, the employer step probably has more than one page and one wasn't submitted. Reopen the employer link and finish it.
